These are the suggestions the Detroit Logistics Committee came up with.

# If we are going to have early registration period followed by late registration, should indicate time periods at the top. <b>-- Want to have final price sets before tackling this issue. </b>
# One member of the committee wanted to know why registering as an organization was beneficial. I said that only organizations could submit proposals. She thought that should be on the website so people will know/organizations will know why they should register as organizations.
# If there is to be a sliding as opposed to a tiered structure, we thought the person/organization would check off individual and then put a number in a box so would need a box that allowed the entry of a number.
# Thought there should be a 4th box that can be checked off for a donation AT THE TIME OF registration. Should say something like "Like to help bring others to 2010USSF!" and have a box for the amount.

I just attended a planning meeting for the [[Midwest Social Forum]]. I proposed that they plug into our Wiki to further communication and collaborations. In my mind I saw the Detroit Local Organizing Committee Wiki and the [[NPC]] both utilizing the Wiki, and thought that it would be a logical extension to include the [[Midwest Social Forum]] instead of them creating something separate. How do you feel about including a Navigational link for the [[Midwest Social Forum]]? I am willing to take responsibility for setting up their pages. Is there a way to provide a link on the US map on the home page for them as well?

The [[Wiki]] is an excellent organizing tool. I would like to see the Detroit Local utilize the [[Wiki]] more, maybe we can set up mini trainings or online trainings (they are on the phone as someone goes over how to use the site).

===What are Projects===
Projects are basically mini-working groups, but geared towards a much smaller body of work. Projects were added in order to lower the barriers of resistance for people wishing to contribute to the work of organizing the 2010 United States Social Forum. Joining a Working Group can be a daunting process because they are responsible for so much and it can be really hard to find a task to start working To see the original proposal for working groups look here: [[ProjectsProposal]].

Please note, Projects are a very new concept and the Project pages are not very fleshed out right now. Over the next few weeks expect much more work being done on this.

After many hours of discussion, we've decided to try CiviEvent for the registration process. To do this, we will create a proof of concept registration form. Currently this form can be viewed here.

The steps of this process are as follows:

1. Create a registration form using CiviEvent UI
1. Allow for both organizational and individual registrations.
2. Form should allow multiple individuals registered under a single organization.
3. Automatically tally registration costs based on the type of organization and the number of individuals registered.
4. Create individual contacts for each registrant.
5. Associate individuals with the organization under which they are registered.
2. Additional Functionality
1. The organizational 'administrator' will be able to modify or add registrant information under their organization.

After testing the registration capabilities on community.sandbox.ussf2010.org, everything on the above list seems within the scope of what CiviEvent can do. Development steps and some details below. I've attached some screen captures of the process and the confirmation email.

These are the suggestions the Detroit Logistics Committee came up with about the registration page on Tuesday. I'm only sending them out to you and Ross from the tech team and ccing Detroiters Lou & Shirley as well as the coordinators because they seem pretty detailed.

If any of you think they should be posted to a broader grouping that's fine with me. I just didn't want to bore everyone to death!

1. If we are going to have early registration period followed by late registration, should indicate time periods at the top.

2. One member of the committee wanted to know why registering as an organization was beneficial. I said that only organizations could submit proposals. She thought that should be on the website so people will know/organizations will know why they should register as organizations.

3. If there is to be a sliding as opposed to a tiered structure, we thought the person/organization would check off individual and then put a number in a box so would need a box that allowed the entry of a number.

4. Thought there should be a 4th box that can be checked off for a donation AT THE TIME OF registration. Should say something like "Like to help bring others to 2010USSF!" and have a box for the amount.

5. Wondered if when the person checked organization or university it could open to a different page.

6. If 3 registrations come with organization/university, should have language to indicate that. How do we want to handle registration for big organizations? The form now will register up to 16 people but does it indicate the organization should pay a larger amount given the number. Thought we needed to check in with how Atlanta handled this. We want big organizations to come! How do we work out pricing?

7. What if an organization doesn't know what the names of registrants from their organization? Do we want to say something like, "Please fill out at least one registration name so we can contact you; if you don't know the other names, just type in the name or initials of your organization followed by 1, 2, etc.

8. "If you cannot pay the full registration fee...." Mark said the form when completed would direct the registrant. But it doesn't now. We also wanted to know how much of a problem this was last time. THIS IS AN AREA THAT COULD TAKE SOME ADMINISTERING. IS THIS MAINLY A PROBLEM AT THE FORUM ITSELF?

9. Under username, after Your preferred username thought last part should be in ( ) to be clearer.

10. Under volunteer, we thought small type shouldn't start off with translating! May say something like "such as helping with registration, checking badges, etc." One person THOUGHT he remembered that this had drop down choices in 2007.

11. Somewhere on the form it should indicate that if people prefer to pay by check, the check should be made out to XXX and sent to XXX.

12. We were concerned about how easily information could be collected and sent to the program/culture committee, but it sounds like the way you are designing the interface with the workshop proposals that won't be a problem. But we were assuming that tech could program to send updated organizational registrations to program/culture on a regular basis. We were also assuming that registrants would be sent eblasts from time to time, as the website is updated with new information, etc. Would we need to sort in certain ways (by organization, by those who volunteered, etc.) so that specific eblasts would be sent?

13. How will the early phase of the registration be managed? Assume a small core of a couple of techies, a logistics or staff person or two at the beginning, but aware that this will explode and add others as necessary. Really important to do the transfer of money into the bank from the credit cards, correctly deducting the charge from the amount paid!

Present: Lizzy Baskerville, Lauren Burnett, Shirley Chalmers, Dianne Feeley, Angela Garcia, Kim Hunter, Sarah Hayosh, Catherine Keffer, Evan Major, Craig Regester & Alan Scheurman.

Sustainability subcommittee met first. The two goals are that the USSF 2010 will leave no footprint and that in the process of the forum key Detroit sustainability issues such as the incinerator and food sustainability will be highlighted through workshops, trips to areas of the city, etc.

1. '''BIKES'''—Lizzy Baskerville met with the Hub Collective the day before and said they were eager to work on the project of having 5,000 bikes for the 2010 USSF. (The Hub is also willing to lend bikes for the event.)

* '''How to advertise that we need bikes?''' Through a list of bike collective, through asking organizations and collectives to donate, through the USSF web, through newsletters and list serves. If we had 100 organizations donate 50 bikes, we would meet our quota.

2. '''Water'''—How do we have water for thousands? We are assuming water fountains at Cobo and WCCC but will have to check. Want to have pitchers of water at Cobo, churches, and other meeting spaces. At Hart Plaza and Youth encampment will need to have huge water containers and ask (on the website) for people to bring their own containers. We will also investigate having them (some for free and for sale). Catherine will research the possibility of setting up a water project for Hart Plaza and/or Youth encampment. Shirley Chalmers will investigate what kind of containers we would have on hand. Angela Garcia is going to investigate possibility of having containers donated or given to us at a deeply discounted price.
NEED TO CHECK TO SEE WHERE ATLANTA GOT THEIR LARGE CONTAINERS.

3. '''Recycling'''—We will need to talk with Cobo and other spaces about recycling, specifically setting up clearly marked sorting bins. In Hart Plaza and Youth Encampment we need to set up our own system. Sarah Cozel, who wasn’t able to make the meeting, is interested in working on this. Want her to be in touch with Detroit Recycling.

4. '''Food'''—We briefly talked about how we wanted as healthy a food court as possible. Sarah Hayosh and Angela Garcia are going to build a list of possible food providers.

UPDATE: Dianne and Maureen Taylor met with Sales Manager at the Mariott; she has given us a contract to look over and sign by the middle of July. Tom Stephens from the NLG and Dianne wrote up questions regarding some provisions of the contract. After reviewing these, Maureen forwarded the list Dianne wrote up to the NPC Finance Committee. Dianne has also sent in a letter of intent to WSU to reserve 500 beds in their dorms.

6. '''Youth Encampment'''--Shirley had found that the grassy area along the river belonged to the Detroit Riverfont Conservancy and was in touch with Mac McCracken. NOTE: Since the meeting Mr. McCracken said they will be constructing a park in that area all 2010 so it is not available but he will check and see what other park areas might be possibilities.

6. '''Transportation'''--Topeka Dixon and Sharon Taylor, from MWRO, are working on transportation. They will a) talk with SEMTA rep about possibility of putting on extra buses going from the airport to downtown on Monday, June 21 and Tuesday, June 22 as well Saturday, June 26; b) talk with DOT rep about getting a discounted rate card (maybe a ticket of 5 rides for $2-3) for use on city buses; c) talk with DOT rep talk about using handicap accessible vans to transport people from hotels to Cobo or other nearby venues; d) with People Move rep about a similar discounted rate card, e) talk with Greyhound about discount for chartering a bus coming from other cities or for discounts on individual tickets to the USSF.
: Shirley agreed to call Northwest to find out about a group rate.
